Position Function: The Associate AD for Bulldog Club Finance is responsible for overseeing the daily operations, functions, processes, and personnel of the Bulldog Club finance department.
Essential Duties and Responsibilities:
- Manages the daily fiscal activities, which include budget preparation and control, accounting, and business planning and management; ensures compliance with policies and procedures, state, and federal regulations.
- Coordinates, designs, and implements financial controls.
- Prepares the budget in a timely manner for review with the CFO of MSU Athletics and the BDC Board of Directors.
- Responsible for preparing and/or coordinating the preparation of various financial reports of fundraising or other analytical reports for management on a monthly basis or as needed.
- Supervises personnel of the finance area seeking to minimize errors; evaluates performance and makes recommendations for personnel actions; motivates employees to achieve peak productivity and performance.
- Prepares all closing entries and financial statements on a cash basis in preparation for the annual audit prior to closing year-end.
- Serves as primary liaison with the independent auditors.
- Participates with the Board of Directors in reviewing the audited financial statements.
- Prepares the Form 990 for the Bulldog Club in cooperation with the outside tax preparer.
- Coordinates the annual filing for Form 1099’s for the Bulldog Club.
- Coordinates the annual filing for Form W-2’s for the Bulldog Club.
- Provides regular review of general ledger accounts in order to maintain accuracy.
- Attends weekly staff meetings and other departmental meetings as necessary.
- Prepares reports and special analyses for the Bulldog Club, presents recommendations for changes and/or improvements to increase efficiency and adherence to budgets.
- Reviews investment strategy & activity on a regular basis and implements changes to portfolio as necessary.
- Administers and audits all payroll activities for accuracy, availability of funds and conformance to policies and procedures.
- Advises on matters related to policies and procedures pertaining to fiscal management to ensure the business interests of the division are advanced.
- Communicates and fosters relationships with internal MSU organizations, specifically the Athletic Business Office and MSU Foundation.
Supervisory Responsibility: Directly supervises the Assistant AD/Bulldog Club Finance and Business Coordinator/Bulldog Club. Reports directly to the Deputy AD/Athletics Advancement with dotted line supervision from the Senior Associate AD/CFO.

Minimum Qualifications:
- Bachelor’s Degree in Accounting or closely related field.
- Three years of full-time professional management experience.
Preferred Qualifications:
- Certified Public Accountant.
- Leadership experience of full-time financial personnel.
- Five Years of full-time professional financial management experience.
- Experience producing audited financial statements.
Knowledge, Skills and Abilities:
Ability to supervise and train staff, including organizing, prioritizing, and scheduling work assignments. Skill in organizing resources and establishing priorities. Ability to foster a cooperative work environment. Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community. Knowledge of customer service principles, techniques, systems, and standards. Skill in budget management. Knowledge of faculty and/or staff hiring procedures. Knowledge and understanding of business management principles and practices. Skill in the use of personal computers and related software applications. Knowledge of financial/business analysis techniques. Ability to develop and maintain recordkeeping systems and procedures.
Physical Requirements:
- No unusual physical requirements. Requires limited lifting of files and records and nearly all work is performed in a comfortable indoor facility.
- Frequent- External imposed deadlines; set and revised beyond one’s control; interruptions influence priorities; difficult to anticipate nature or volume of work with certainty beyond a few days; meeting of deadlines and coordination of unrelated activities are key to position; involves conflict-resolution or similar interactions involving emotional issues or stress on a regular basis.
