Position Title: Laboratory Manager - Anatomic Pathology

Job Description: General Description:
Under general direction, responsible for the planning, coordination of resources and control of activities concerned with Laboratory Services. Promotes and leads activities for the standardization of services between facilities to ensure efficient and high quality care. The department Manager is expected to work to perform job duties independently and in accordance with established department and hospital policies.

Routine Work Duties: - Ensures lab sections meet turn-around-times established for testing and reporting patient results which are clinically relevant.
- Monitors overdue or pending lists for barriers and trends to timely patient reporting.
- Ensures that regulatory requirements and standards are met.
- Provides guidance to supervisory and leadership staff.
- Rounds with all direct reports.
- Rounds with unit customers.
- Rounds with Pathologists.
- Chairs assigned committees.
- Works with section medical directors to provide testing to meet clinical needs of the surgical patient.
Quality Control: - Ensures quality control systems and measures are developed to assure the medical reliability of laboratory data.
- Reviews QC data and coordinates corrective actions with supervisors and medical directors.
Maintenance: - Operates, calibrates, and maintains instrumentation/equipment within scope of training and established protocols. Documents completion of instrument maintenance and function checks.
- Ensures proper maintenance of equipment is performed and documented.
- Reviews maintenance records quarterly for accuracy and completeness.
- Initiates and/or Approves PO for maintenance.
Assessment: - Assess and verify the validity of patient test results, including identifying problems that may adversely affect test performance or reporting of test results.
- Analyzes internal and external assessments for opportunities for process improvement or improved patient care.
- Reviews quarterly section reports for accuracy and completeness.
- Coordinates assessment of testing platforms and instrumentation in conjunction with medical director.
Management: - Supports the Laboratory productivity goals.
- Adjusts staffing as needed while meeting clinical needs.
- Demonstrates the ability to use key management reports.
- Directs lab personnel to provide efficient, high quality healthcare with superior service.
- Facilitates responses to address operational issues.
- Delegates tasks as needed and appropriate.
Purchasing/Inventory: - Participates in inventory management activities.
- Chooses cost-effective alternatives when available.
- Guides supervisory staff in choosing contracted items and vendors.
- Evaluates capital needs and develops priority list with the section director for the submission to the Medical Director and Administrative Director.
- Ensures ordering tasks and inventory control are assigned.
- Negotiates and maintains contracts.
Documentation/Reporting/Record Keeping: - Maintains legible and organized records.
- Follows Section document retention policies.
- Ensures appropriate regulatory documentation is up to date and accessible.
Personnel: - Complies with all hospital and laboratory human resources/personnel policies and procedures.
- Ensures supervisors are utilizing appropriate hiring tools.
- Makes effective hiring, disciplinary and dismissal decisions in accordance with OU Health Human Resources policies.
- Maintains confidentiality of personnel records.
- Effectively coaches and disciplines personnel including appropriate documentation.
- Following OU Health and Lab guidelines, performs yearly evaluations and merit scoring for Supervisors. Guides and supports Supervisors in the staff performance accountability process.
- Oversees supervisors in staffing, scheduling, attendance, and personnel issues.
- Ensures consistent application of HR policies.
Teaching/Development: - Trains and mentors supervisory and lead personnel.
- Assumes responsibility of own professional development.
- Leads, develops, coaches, and effectively manages the team to ensure deliverables and performance metrics are met. Develops team to accomplish results through training, development, performance management and recognition.
Computer Utilization: - Utilize computer technology as required.
- Proficient in lab operating systems.
- Proficient at using computer search tools to access standards, guidelines, and policies.
Quality Management: - Participates in laboratory Quality activities.
- Complies with all Laboratory Quality Management Plan policies and procedures.
- Ensures Laboratory Quality Management Plan policies and procedures are implemented within Anatomic Pathology.
- Complies with all patient safety goals. Reports all patient safety concerns.
- Ensures the lab procedures manuals are accurate, complete, and up to date.
- Ensures the lab procedures are written using current document policies.
Safety: - Complies with all hospital and laboratory safety policies and procedures including the appropriate use of PPE.
- Maintains clean, clutter-free workstation.
- Addresses non-compliance of safety policies and procedures by staff and house staff.
- Responsible for compliance with governmental bio-safety regulations.
Minimum Qualifications:
Education: Bachelor’s degree required. Bachelor’s degree in biological science or related field preferred.
Experience: 3 to 5 years of progressive leadership experience in a medical laboratory required.
License(s)/Certification(s)/Registration(s) Required: Certified as a Medical, Cytology or Histology Technologist with the American Society of Clinical Pathologists (ASCP).
Knowledge, Skills and Abilities:
- Knowledge of current laboratory practices, techniques and terminology as it relates to autopsies, chemistry, cytology, hematology, histology, microbiology and surgical pathology.
- Knowledge of analysis techniques utilized in budgetary planning.
- Familiar with the quality control requirements of a laboratory plus the related safety issues and guidelines.
- Demonstrated ability to develop collaborative relationships with key stakeholders. Strong influence skills and ability to motivate others.
- Ability to maintain integrity and trust among leadership and staff.
- Proven ability to manage a team of professionals and lead a departmental function.
- Demonstrated business acumen. Demonstrated business understanding and ability to balance people/ organizational decisions with business considerations. Experience using metrics to drive decisions and working with external vendors.
- Must be a strategic thinker, self-motivated and have excellent problem solving and project management skills.
- Proven ability to effectively manage multiple high priority deliverables.
- Excellent verbal and written communication and presentation skills.
- Proficient with the use of Microsoft Office tools.
