Job Summary: This position is temporary and part-time. The successful applicant will work with the Associate Director of Finance and Accounting (AD) for the department of Physics and Astronomy (P&A). The project will be to develop a how-to for the department’s next research accounting support person. Training will be provided for the specifics that will be included in the how-to manual; the successful candidate would be able to take that training and compile independently and efficiently.
Responsibilities:
- Maintains and reconciles accounts and makes corrections to journal entries as necessary. Tracks and reports revenue and expenditures.
- Prepares departmental or grant budgets and cost reports and does variance analysis.
- Reviews expense and accounting documents for accuracy and appropriate approvals and ensures transactions are charged to the correct account.
- Handles accounts receivable for department including invoice preparation, bank deposits, aging reports, follow up on past due accounts.
- Prepares and processes purchasing and travel documents. Solves problems with invoices and processes for payment.
- May serve as the department payroll reporter. May track department payroll expenses and ensure labor costs are charged to correct accounts.
- Reviews and reconciles University procurement and purchases.
- Reconciles monthly management statements and maintains back-up documentation.
- Creates special checks or check requests.
- Tracks and controls department inventory.
- May supervise and/or train accounting clerks and other clerical staff.
- May serve as petty cash custodian for the department.
- May purchase and maintain office supplies for department.
Minimum Qualifications: Associate’s degree in Accounting, Finance or a related field, plus two years full-time clerical accounting experience or equivalency (one year of education can be substituted for two years of related work experience) required. The ability to understand, interpret, and apply University and departmental regulations; demonstrated spreadsheet skills; and demonstrated human relations and effective communication skills required. Experience using software programs such as PeopleSoft or Kronos may be required for certain positions.
