JOB SUMMARY
The position will work in a team environment, providing support to multiple Project Managers, Field Leadership, and the Project Director/VP of Critical Systems in the Mechanical Construction Industry.
DUTIES & ESSENTIAL JOB FUNCTIONS
- Advanced skills using Excel (i.e. pivot tables, various functions, and shortcuts)
- Advanced computer skills with a focus on spreadsheets and quick learning of new systems
- Able to problem solve, detail-oriented, patient, and critical thinker
- Flexible and works well independently
- Managing outside rental including communication with vendors and the onsite team
- Set-up and ongoing management of office supplies for the PMs and job site office
- General purchasing and creating and issuing purchase orders
- Generate documentation including change orders, schedules, and other project-specific work
- Project transaction reports – run as needed on the project
- Accounts payable problem invoices – resolving invoices that are over POs, invoices with no POs, incorrect PO references, etc.
- Work with PMs on project-specific reporting, scheduling, etc.
- Preparation of entertainment expense reimbursement requests
- Maintain positive and effective relationships with clients, vendors, and onsite team
- Maintain owner-controlled insurance program for McKenney’s and our vendors
BASIC QUALIFICATIONS
- At least 5 years in an administrative position, preferably some onsite project experience
- Experience with accounting software
- Exceptional command of Excel, Adobe Acrobat Professional, and Bluebeam
- High school diploma or GED
- Familiarity with Smartsheet and Microsoft Dynamics
PREFERRED QUALIFICATIONS
- Experience as a construction site administrative assistant
- Administrative Certification
- Microsoft Excel Certified
- Cost Plus Billings
- AIA Billing Knowledge

- Ability to take on additional responsibilities as needed as well as determine and manage priorities with minimal guidance

WORKING CONDITIONS AND PHYSICAL EFFORT
The work location will be the construction office on the project site or the office. No or very limited exposure to physical risk. No or very limited physical effort required.
