Responsibilities
This is a full time, hybrid position, with 3 days in office presence, responsible to:
- Investigate, analyze, and report on issues related to project performance through an understanding of key performance metrics, specifically budgeted and earned multipliers, the relationship between cost and billings, and calculating profit/loss data
- Support the Project Manager in regular project audits and participate on problem identification and resolution. In the course of these audits, the PMD will understand the issues, recognize the course of action, and take steps to ensure any problems are addressed.
- Assist and compile responses for monthly reporting on tight deadlines. Scrutinize responses for accuracy and detail for actionable items to allow for billings or invoice collections. Report to the Business Unit Manager (BUM) on priority items
- Coordinate with the Project Accountant (PA), Business Unit Manager (BUM) and Project Manager to ensure accurate and timely reporting of all financial and accounting related matters for the projects (jobs) within their assigned BU or PM.
- Responsible for the day-to-day financial management of their assigned projects to include job/contract set up, subcontractor requisition preparation, contract verification, review and verification of job setup.
- Lead the invoicing process, initiation of adjustments to invoices, accounts receivable tracking, collections, job close out, and any other job specific financial matter.
- Support subconsultant management through the creation and management of subconsultant purchase orders. Navigate the procurement system and ensure incoming bills for subconsultant time and materials are processed timely.
- Maintain open lines of communication with their primary PA to ensure efficient, timely and quality results.
- Assist as necessary with inquiries on time entry, travel, expense reporting and other business processes.
- Participate in companywide calls on related to PMD's. Communicate important action items and processes to the BUM and oversee implementation throughout the office.
Required Skills & Required Experience
- 10+ years of relevant experience required. Preferably in the Architecture/Engineering industry.
- Bachelor's degree in accounting is preferred.
- Prior experience with Deltek Vantagepoint preferred.
- Proven history of maintaining financial and technical data.
- Ability to interpret data and identify issues based on trends.
- Knowledge of business contracts and invoice processing. Demonstrate familiarity with client billing requirements, construction of billing rates, and accurate posting of invoice submittals.
- Proficient with Microsoft Office Suite, particularly Excel and the use and application of business tools and workflows.
- Excellent verbal and written communication skills.
- Ability to multi-task, with excellent organizational skills.
- Self-starter, with demonstrated ability to translate direction, feedback, and strategy into actionable results.
- Strong collaboration skills with employees at all levels and from various parts of an organization.
- Prior staff management experience strongly desired.
- Proactive and interested in learning more about project and business management.
