Job summary
The Accounts Payable Associate is responsible for working as part of the accounts payable department performing basic accounting and clerical tasks related to the efficient maintenance and processing of accounts payable transactions.
Duties and Responsibilities:
- Processes invoices, including matching invoices to supporting documents and data entry in accounting system; research discrepancies.
- Ensures supplier payment discounts are taken when offered.
- Obtains payment approvals from budget owners for non-inventory purchases.
- Enters procurement card activity and employee out-of-pocket expenses in accounting system and processes payment.
- Responds to vendor inquiries and research issues, responding via phone or email on the status of payment.
- Assists in preparing and processing weekly check run.
- Assists in gathering and reporting on department's processing metrics and relevant KPI's.
- Effectively communicates with internal customers and external suppliers.
- Identifies opportunities for process improvements including internal controls, forms, procedures, policies, and systems.
- Ensures compliance with company policies and procedures, generally accepted accounting principles, and regulatory requirements.
Preferred Qualifications:
- Bachelors or Associates degree in Accounting from accredited college.
Required Qualifications:
- Experience in electronic accounts payable processing environment, including electronic document management.
- Proficiency with Microsoft Office Suite.
- Strong planning, organizational and problem-solving skills.
- Effective verbal and written communication skills.
- The ability to multi-task and willingness to learn new skills.
- Team-oriented person who can focus on the details.
Physical Requirements:
This position is located in an office environment and requires the ability to operate a computer accessing information from a computer screen and entering information into the computer system. Repetitive data input is required with the ability to sit or possibly stand for long periods of time. The ability to operate a telephone and communicate with internal personnel as well as contacts outside of the organization via telephone is necessary.
