Job Description - TH Staff Assistant II - Surgical Oncology ACP (2402757)
Position Summary
At Stony Brook Medicine, the Staff Assistant II in the Cancer Center will provide a wide range of administrative functions. The incumbent must be detail oriented, possess excellent organizational skills and have the ability to multi-task. The incumbent presents a professional appearance and exercises sound judgement and communication skills when working with staff, faculty, physicians, senior leadership and outside vendors and guests.
Duties of a TH Staff Assistant II in the Surgical Oncology ACP may include but are not limited to the following:
- Provide full range of administrative assistance, including but not limited to receptionist type duties, greeting & directing visitors, answering telephones, taking and recording meeting minutes, copying, scanning, typing and Outlook calendar maintenance.
- Order supplies utilizing all Stony Brook and outside systems including Lawson, Amazon, etc.
- Assist the Nurse Manager with office operations including ordering, sorting incoming mail and maintaining office directories.
- Prints and distributes daily schedules.
- Knowledge of and ability to navigate PowerChart.
- Has the ability to problem-solve complex oncology patient paperwork, with multiple future encounters, and ensures accurate assembly of charts.
- Assembles all paperwork ensuring paperwork is complete with correct patient identifiers.
- Troubleshoots problems with patient information’s inaccuracies, scheduling of appointment type and appropriate time frame while communicating unresolved issues to management.
- Communicate with administrative staff from physician facilities regarding physician clinics coordination of care, etc. Maintains a constructive and cooperative relationship with surgical and medical offices.
- Covers front desk operations as needed. Will become proficient with all necessary computer applications required in job performance i.e. Cerner power chart, Eclipsys, Excel, etc.
- Complete special projects as assigned.
- Performs administrative support duties for assigned nursing supervisors.
- Answers telephone calls and distributes messages in a timely manner.
- Adheres to HIPAA standards in keeping patient's confidentiality and personal information.
- Directs charts and patients to the proper location.
- Keeps patient/family, concierge staff informed when appointments are delayed.
- Assist to make appointments with other departments.
- Manages pre and post-procedure paperwork (including prep for procedure and scanning).
- Prepare hospital billable documentation, review prep for scanning and prepare superbill.
- Maintain equipment, copy machines, fax machines.
- Print daily schedules for the next day's assignments.
- Organize and distribute daily schedules to staff and physicians.
- Triage calls to the unit.
- Manages incoming/outgoing telephones/fax.
- Organize charts for scanning and coordinates delivery of medical records for HIM and all practices.
- Monitors and maintains the supply of new patient packets for MD practices.
- Monitor encounters to ensure that patients are scheduled for the correct encounter.
Qualifications
Required: Associate’s degree and at least 2 years of related administrative experience or, in lieu of degree, at least 5 years of outpatient medical healthcare administrative experience. Proficiency in office management skills, medical terminology, and have excellent computer skills.
Preferred: Advanced Microsoft Office proficiency. Experience with working in a multi-disciplinary clinic familiar with the operations of the surgical and medical practices. Previous experience working in an outpatient hospital-based clinic. Previous experience working in a physician office practice.

Anticipated Pay Range:
The starting salary range (or hiring range) for this position has been established as $48,839 - $58,366 / year.
The above salary range (or hiring range) represents SBUH’s good faith and reasonable estimate of the range of possible compensation at the time of posting.
In addition, all UUP positions have an additional $3,400 for location. Your total compensation goes beyond the number in your paycheck. SBUH provides generous leave, health plans, and state pension that add to your bottom line.
