Assists the Supervisor and Manager of Patient Access Services with performing a wide variety of duties that provide clerical and administrative support to assigned patient care areas and their customers. Responsibilities will include, but not limited to providing training for Patient Access Representatives. In collaboration with the Revenue Cycle Quality & Training Specialist, develop and maintain training materials related to performing a variety of department specific tasks. Explains and reinforces pertinent hospital policies and procedure instructions to customers and staff members. Problem solves issues that arise pertaining to the registration and department workflow. Acts as a resource for information regarding the registration process. Assists the supervisor/manager with time off requests for the department including adjusting schedules to have appropriate coverage in the department.
Essential Job Functions and Responsibilities:
- Lead Responsibilities:
- Front line to patient access staff and others to help problem solve issues
- Train new staff members
- Take shift hand off from prior shift and report shift hand off to next shift lead or staff member if there is no lead
- Order supplies for department/or notify manager of needed materials
- Verify that patient status changes are processed correctly/notify designated parties of any inconsistency and or changes.
- Be responsible party for managing staffing needs i.e. sick calls
- Ensure that all signatures are obtained on all admission forms
- Verify on each shift change that the cash box is correct.
- Uphold all policies and procedures put forth by Leadership
- Take on-call duties during weekend shifts
- Performs related duties.
- Responds to customer’s questions or concerns, referring to appropriate resources as necessary.
- Maintains a clean and orderly work area, including office equipment.
- Reports defective equipment promptly to supervisor.
- Serves as preceptor for new employees and assists Education Department with orientation as directed.
- Maintains responsibility for professional growth and development.
- Regularly evaluates areas of strength and weakness.
- Seeks opportunities for own professional growth and development.
- Shows progress towards achievement of professional/educational growth.
- Attends mandatory and non-mandatory inservice education.
- Keeps abreast of changes in areas of expertise (i.e. insurance updates).
Educational / Minimum Requirements
- High School graduate. Clerical experience in a healthcare environment preferred.
State/Federal Mandated Licensure or Certification Requirements:
Bristol Hospital Mandated Educational Requirements
- General orientation at time of hire. Fire/Safety/Infection Control annually. Other programs as mandated by Hospital.
Special Requirements
- Superior customer service, telephone and interpersonal skills.
- Working knowledge of medical terminology, as well as typing and data entry skills.
Physical Requirements
- Occasional sitting with occasional extended bending, reaching, stooping, and walking/standing.
- Prolonged eye and hand use while operating computers.
- Occasional lifting, up to and in excess of fifty pounds.
- Ability to occasionally operate wheelchair and stretcher with patients.
- Occasionally assist in lifting/moving patients on and off stretchers, chairs, etc.
- Occasionally may have to assist in discharge of patients.
Work Environment
- Normal office conditions.
Cognitive Requirements
- Excellent clerical skills, good written and oral communication skills, literate in English.
- Good organizational skills with the ability to follow written and verbal directions with multiple steps.
