A reasonable estimate of the current range is $25.50-$34.50/HR.
Position Summary:
The Medical Clinic Supervisor reports to the Medical Clinic Manager and oversees the Medical Clinic operations and personnel to ensure the workflows run smoothly. The Medical Clinic Supervisor provides supervisory support for medical assistants including ensuring adequate staffing levels and training, providing performance feedback as needed, monitoring timekeeping activities and staff schedules, and monitoring daily medical assistant functions. The Medical Clinic Supervisor is responsible for all vaccine management activities including training staff and acts as a backup Medical Assistant in a fast-paced Primary Care setting during heavy clinic flow and/or Medical Assistant absences and scheduled staff time off. The Medical Clinic Supervisor ensures that patients receive excellent customer service and competent care within the scope of practice of their role.
Essential Functions:
- Ensures the success of daily back-office operations including staffing, patient flow, visit productivity, EHR documentation, and the overall patient experience.
- Ensures opening and closing procedures are followed and documented.
- Ensures clinic and laboratory equipment is maintained in accordance with city, county, state, and federal regulations.
- Works with clinical staff to ensure follow-up telephone calls to the patient are completed and logged.
- Supports the success of the clinic in meeting regulations and requirements for programs, including but not limited to VFC, VFA, HEDIS, OSHA, Medi-Cal, FamPact, EWC, Medicare, HRSA, PCMH, and AAAHC.
- Engages in clinic scheduling problem solving, patient wait times, and other areas of concern to increase clinic efficiency and quality of services.
- Coordinates and participates in the implementation of new workflows with QI assuring all Medical Assistants and staff are trained and working at their skill level and under their scope.
- Manages, maintains, and ensures inventory, ordering, supply stock, emergency kit, and maintenance of medical supplies are up to date.
- Monitors vaccine temperatures and viability based on current best practices and adheres to reporting guidelines and emergency procedures as needed.
- Performs a monthly physical inventory of all vaccines in stock. Orders vaccines. Accounts for doses of returned or transferred vaccines since the last order.
- Processes and resolves inquiries and complaints related to patient care services.
- Maintains a supportive and positive teamwork environment and responds to team morale issues.
- Assists management with event coordination for health screenings and grant objectives.
- Selects, trains, supervises, and evaluates Medical Clinic Staff; identifies job functions and actionable deliverables; leads and manages staff in a supportive and professional manner, provides guidance, constructive input, and positive feedback; identifies and creates opportunities for staff development.
- Reports any incidences or unusual occurrences in a timely manner.
- Monitors daily huddles with the provider each morning at the beginning of their shift.
- Ensures staff skills check-off are up to date and documented.
- Conducts meetings and trainings as needed.
- Fills in for staff when necessary, including the Medical Clinic Manager.
- Collaborates with Officers, Directors, Managers, and key stakeholders to ensure clinic objectives and processes align with the organization's mission, accreditation standards, and strategic goals.
- Complies with all state and federal laws and regulations, as they pertain to position including; HIPAA, sexual harassment, scope of practice, OSHA, etc.
- Other duties as assigned.
Skills and Abilities:

Minimum Qualifications:
- Valid California Medical Assistant with 3 years’ experience in an administrative capacity.
- 3 years of experience working in community health with supervision of clinical staff required.
- Superior knowledge of health home accreditation, licensing standards, and requirements.
Preferred Qualifications:
- Experience with grant management, budgeting, oversight, and compliance.
- Experience with AAAHC accreditation and PCHH certification preferred.
- Care and compassion in working with low income, indigent, and/or substance abusing individuals; Skill in working with people of varied social, ethnic, and economic backgrounds.
- Experience with Nextgen or other electronic health record system.
- Experience in a nonprofit and community clinic setting.
