The Clinical Supervisor and Manager plays a crucial role in the support and oversight of both pre-licensed and licensed therapists, ultimately ensuring that all clinics achieve Ellie’s mission of “compassionately transforming the culture of mental health by delivering creative solutions that make wellness accessible in every community.”
Reporting & Supervision
- Reports to Clinic Director
- Participates in regular supervision/check-ins with the Clinic Director, the frequency of which is subject to change based on the needs of the clinic, the therapists, and the supervisor; weekly meetings with Clinic Director and Owner (as deemed appropriate)
- Direct reports include 10-15 therapists
- Maintains total oversight of up to 7 pre-licensed therapists and provides support to additional fully licensed therapists
Tasks & Responsibilities
Therapy Services
- Provides therapy services for 16-18 clients each week; must schedule at least 20 clients each week to account for cancellations
- Maintains client electronic health record – completes progress notes, records cancellations, conducts evaluation of therapy progress, updates record to reflect discharge, etc.
- Ensures the collection of payments at the time of therapy service
Hiring and Onboarding of Therapists
- Hiring and Onboarding is facilitated by the Operations Manager; however, the Clinical Supervisor will review the credentials/experience of prospective therapist candidates and will conduct the second interview
- Makes recommendations for hiring; communicates to the Operations Manager which candidates should receive an offer letter
- The Operations Manager will maintain communication with new hires and guide them through the onboarding process; however, the Clinical Supervisor is responsible for any clinical or client-related needs/questions and for setting up the Ellie Match and client scheduling with new hires
- Work with Operations Manager to manage therapist’s role in building and maintaining client caseload
Clinical Supervision and Staff Management
- Conduct weekly outreach to prospective new clients from the Ellie Call List; schedule clients with open therapists and communicate with therapists about prospective clients; complete weekly Call List Report for Clinic Director
- Proactively identifies clinician performance barriers and actively troubleshoots issues
- Provides mentoring, coaching, and teaching to clinicians as needed to ensure effective and quality therapy services
- Maintains a solid understanding of all clinical metric reports and reviews metrics at least once per month with licensed therapists and two times per month with pre-licensed therapists
- Works with direct reports to ensure ongoing training for all clinicians in areas including, but not limited to: EHR system, clinical compliance, caseload management, client care, professional boundaries, clinical documentation, payment collection, and productivity goals
- Leads weekly team meetings/case consultations
- Available to therapists for emergencies whenever therapists are working
- Conducts direct reports’ annual Performance Reviews; renews supervision plans annually at time of Performance Reviews
- Reviews and signs documentation of pre-licensed providers (i.e., progress notes, treatment plans, diagnostic assessments, discharge summaries, etc.) every week; therapists must have all documentation for the week entered by Sunday evening at 8:00 pm
- Conducts chart audits (review a sampling of progress notes, treatment plans, diagnostic assessments, discharge summaries, etc.) monthly for fully licensed therapists to ensure quality therapeutic services; therapists must have all documentation for the week entered by Sunday evening at 8:00 pm
- Provides clinical oversight to clinic’s employees congruent with state regulations and Ellie policies; has weekly supervision with pre-licensed therapists and monthly supervision with fully licensed therapists
- Analyzes therapists’ performance metrics and reviews them during supervision, making recommendations for change as needed
- Oversees the scheduling of office space for therapists, maintaining a master calendar of therapist per office per day/time on SharePoint
- Serves as the direct contact for clients when clients are providing information/complaints/praise about a therapist or if they have questions that the therapist is unable to answer; may be escalated to the Clinic Director if additional support is needed
- Reserves 10-15 hours per week (2-3 hours per day) for clinical supervision and staff management activities – including supervision sessions, chart reviews/audits, signing documentation, case reviews and other meetings, answering emails pertaining to supervisees or other administrative needs, performance metric analysis, etc.
Required Skills & Abilities
- Master’s Degree or higher; education in mental health discipline
- Independently licensed with a Maryland-issued clinical practice license
- Board approved licensure supervisor
- 5+ years of experience in a mental health clinic setting
- Strong problem-solving and administrative skill sets
- Excellent communication and organizational skills
- Excellent time management skills with a proven ability to meet deadlines
- Ability to function well in a high-paced and changing environment
