Baystate Health, a nationally recognized leader in healthcare quality and safety, and home to Baystate Medical Center (BMC), and the region's only level 1 trauma center, providing services throughout western Massachusetts is looking for Clinical Research Systems Specialist.
Summary Description:
The Office of Research is seeking a full time Clinical Research Systems Specialist who will play a vital role in the conduct of clinical research by supporting, managing, and coordinating the use of calendars/budgets in the CTMS system and powerplans in the EMR. Providing as needed end user training to ensure compliant use of clinical research systems. The applicant will primarily support the use of the CTMS and Oracle/Cerner PowerTrials applications with their main focus being on calendar/budget reviews and builds and Powerplan designs. This position will work with the Office of Research clinical and financial study teams as well as the EMR application team. The ideal candidate will have experience in study coordination and study financials. Ability to read research protocol schedules and contracts and translate them into calendars in the CTMS and orders for design specs for PowerPlans in the EMR. Clinical research experience is required. Prior experience with CTMS is preferred, but not required. Remote work and flexible schedule are also available.
Job Requirements:
- Develop specifications and testing plans for Powerplans using the standard submission templates provided. Participates in all testing events, including Unit and Integrated Testing.
- Review new study submissions sent to the Information Security Office (ISO) for all applications/devices involved in the study and understand how each of them will work and what information is shared and how.
- Maintain a log of all applications that have been approved by ISO for future reference when new studies are submitted.
- Create/Modify specifications/budgets in the CTMS system from the Protocol and financial contract.
- Participate in Calendar Sign-Off review meetings.
- Process amendments that impact calendar/budgets in CTMS or research powerplans in coordination with Clinical Informatics and other technology partners.
- Maintain the charge master in the CTMS system.
- Monitor for compliance that subject enrollment and subject visit information is being entered into CTMS according to the timeframe set in the policy.
- Provide as needed end user training to ensure compliant use of clinical research systems.
- Participate in professional development and activities to keep current with trends in CTMS calendar/budget builds and Cerner CIS PowerPlans.
- Utilize Service Now for work requests, upgrades, and all other activities related to the support and maintenance of CTMS and eReq system.
- Follow all Baystate Health I&T processes for work requests and change management tracking.
- Communicate effectively and adapt to a wide variety of interpersonal environments within the entire healthcare system. Able to be an approachable liaison to facilitate the use and effectiveness of Research Systems and processes.
- All tasks need to be performed following the Operating Principles of Baystate Health. Adhere to system and department compliance policies, and any and all applicable laws and regulations. Perform other duties as assigned.
Skills/Competencies:
- Knowledge of Research and the process of research studies.
- Oracle/Cerner CIS EMR system experience in particular powerplans.
- Advarra OnCore or other CTMS experience and knowledge of the components of a study.
- Strong critical thinking skills and the ability to review the protocol documents and contracts to identify information needed for calendar/budget builds and powerplans/orders.

QUALIFICATIONS:
- High School diploma
- 3-5 years of clinical research experience
Preferred Experience:
Experience with Oracle/Cerner CIS powerplans/orders and with CTMS system
