The Lead Medical Assistant is responsible for managing the day-to-day operations of the medical assistants and will act as the CRCH liaison to MAH, C3, and other Collaborations. The Lead Medical Assistant is responsible for ensuring each designated area meets established operational efficiencies, customer service goals, remains fiscally responsible, and provides excellent clinical operational support to increase quality patient care while promoting staff and departmental accountability and quality performance.
YOUR RESPONSIBILITIES
- Hold a high level of competence in all support staff roles.
- Support staff as needed.
- In conjunction with the Director of Nursing and Nurse Manager, ensure adequate day-to-day staffing pattern among all CRCH sites.
- Learn all necessary components in the EMR to document patient intakes, assist in case management of patients, and assist nurses and medical providers in patient care.
- Coordinate training schedules and ensure all new medical assistants have been oriented on all aspects of medical assisting and the lab.
- Provide direction and support to staff to assure departmental effectiveness and efficiency.
- Monitor staff knowledge of procedures and ensure that new procedures are implemented correctly.
- Provide feedback to the Director of Nursing and Nursing Manager on the status of the implementation process.
- Ensure all reporting staff are within compliance with payroll regulations and timekeeping policies.
- Complete and send out the weekly schedule and duties to medical assistants.
- In conjunction with the Nurse Manager and Director of Nursing, complete employee evaluations, Performance Improvement Plans, and any other documentation needed.
- Oversee training and evaluation of medical assistant students.
- Assist in performing vaccine inventory reconciliation and report on vaccine levels to Vaccine Coordinator.
- Train MAs at all locations and each department on the Vaccine for Children Program, vaccine packaging and handling, storage, ordering, reporting to the state on vaccine loss, and how to handle emergency power outages.
- Educate and supervise vaccine team on proper vaccine entry in EHR.
- Update providers, medical assistants, and nurses regarding vaccine availability at the clinic, and work with providers/Medical Director/Clinical Services Director regarding appropriate immunization administration technique training for other staff.
- Order and maintain inventory for supplies used by the medical department.
- Monitor the flow of patients from reception, through medical, and lab, intervening as necessary to ensure efficient flow.
- Prepare and set up the exam room at the beginning of each session and then clean and restock the exam room at the end of each session.
- Escort patients to the examination room, take and record vital signs such as height, weight, pulse, blood pressure, temperature, etc. for adults and children.
- Perform and mount electrocardiograms (EKGs), obtain urine and blood samples, and run lab tests as needed.
- Prepare specimens for transport to outside laboratories and complete all necessary forms.
- Perform vision and hearing tests.
- Record all information in patient chart as needed.
- Assist providers during examinations and in minor office procedures when necessary.
- During an acute medical emergency, act as liaison with other Health Center personnel, ambulance service, and hospital.
- Assist provider with treatments during emergencies.
- Provide emotional support to patients during routine and urgent visits to the Center.
- Provide follow-up communication by phone or mail with patients.
- Assist in care coordination for outside appointments, as requested, by provider and inform patient of same including information needed to prepare for exams.
- Assist the organization with ongoing education within the health center and outside agencies.
- Maintain current patient education and referral information system in consultation with the staff.
- Complete paperwork as required, including FPER forms and other reports.
- Work collaboratively with other health center staff in meeting JCAHO accreditation and other regulatory and/or funding requirements.
- Anticipate provider/patient needs and independently act on behalf of the patient in consultation with a provider.
- Propose new or improved clinical or organizational programs that would benefit patients and staff.
- Perform other duties as assigned by the Director of Nursing & Nurse Manager.
YOUR QUALIFICATIONS, COMPETENCIES, TRAITS
- Educational Medical Assistant Certificate required.
- BLS or CPR certificate required.
- Must maintain current Medical Assistant certification to administer vaccines (i.e., CCMA, RMA).
- 3-5 years of Medical Assisting experience required.
- Clinic is open 8:30am-7:00pm on Mondays, Tuesdays, Wednesdays, and Thursdays; 8:30am-5:00pm on Fridays; and 8:30am-1:00pm on Saturdays. Must be able to work from 8:15am-5:00pm during the workweek, and Evenings and Saturdays as needed in both locations.
- Must be able to adapt to the schedule and working style of assigned provider(s).
- Must be mature, responsible, and team-oriented.
- Strong organizational and communication skills required.
- Willingness to support training needs for students and internships as requested.
- Experience in health care required.
- Ability to work under pressure and flexibility to function in a changing environment required.
- Bilingual with strong written and oral communication skills in English/Spanish or English/Portuguese preferred.
- Previous supervisory experience is preferred.
- Previous phlebotomy experience is preferred.
- Must have a willingness to work flexible hours to meet the organization's needs/demands.
- Must be able to travel to either Charles River Community Health site (Brighton and Waltham) as needed.
- Must have excellent communication skills, particularly with people from diverse cultures, with the ability to understand the community, population, and patients we serve.
- Must have experience in diverse cultures, with strong commitment to promoting Diversity, Equity, and Inclusion and reducing inequities.
