The Project Coordinator is involved in all aspects of projects including application development efforts, systems upgrades and installations, technology outsourcing, coordinating resources, project governance structure, and communication regarding the project. The Project Coordinator is responsible for the project development process, determining project requirements, facilitating project planning, tracking project costs and schedules, mitigating project risks, ensuring the project is on track and within budget, and ensuring sustainability and post-project implementation success factors. The Project Coordinator coordinates with the project sponsor and is responsible and accountable to ensure projects go through the proper phases of the project life cycle.

Responsibilities- Program Management: Responsible for planning, scheduling, project goals, milestones, budgeting, and resource management to achieve deliverables. Defines requirements and the project life cycle and deployment plans. Coordinates projects from planning and development to implementation. Responsible for all relevant scheduling and quality of program/project. Facilitates all changes and issues with stakeholders. Coordinates activity closely with the project sponsor and the full project team to ensure strategic goals are achieved. Ensures that the clinical/operations community is appropriately engaged in their project activities to optimize design, test, and support. Coordinates all related milestone attainment and pertinent needs. Provides and updates project plans to ensure project status is communicated to stakeholders and leadership. Effectively identifies, tracks, and coordinates the resolution of project issues to ensure project timelines are met. Anticipates resource demand changes and makes and/or recommends changes well in advance of need. Ensures issues are presented clearly, options framed appropriately, recommendations are provided, and that a course of resolution is established as needed to adhere to project timelines. Demonstrates a strong belief in the organizational and departmental goals/objectives. Functions as a change agent and advocate for the department and seeks ways to optimize/improve processes.
- Communication: Interacts and interfaces closely with departmental leadership and project sponsors. Communicates timely and effectively with pertinent systems stakeholders. Identifies strategies and/or technology to improve communication and status of the project. Positively promotes the benefits of the system, motivates end users and others, and serves as an effective liaison between the project and leadership. Understands the importance of confidentiality and measures communication as appropriate.
- Teamwork: Works as an effective member of the overall project leadership team facilitating open communication and issue resolution. Establishes positive relationships with clinical/operational leadership directly and through established project structures and facilitates open communication and direction setting. Promotes a team atmosphere encouraging team member input and optimizing group productivity. Demonstrates strong relationship management skills with the end-user community and provides a model for others to follow. Establishes and coordinates a structured communication process to ensure all team members are aware of progress and/or shortfalls of the project. Willingness to subordinate individual goals for team goals.
QualificationsEDUCATION
Five (5) - ten (10) years experience in related field administrative/executive support, project management, or related areas with pertinent responsibilities. Associate, Bachelors, and pertinent certifications preferred.
EXPERIENCE
Demonstrated project leadership and administrative/executive support experience. Minimum of five (5) years work experience in leading multiple project implementations, coordination of department with large staff and concurrent activities is required.
LICENSURE
PMP Certification: Preferred.
SPECIAL SKILLS
Exceptional coordination and leadership skills capable of coordinating team activities within a broader project context and with operational leadership. Outstanding teamwork skills, comfortable in both cultivating a team and functioning within a complex matrix structure. Strong knowledge/skill capable of participating and/or leading discussions of change in the clinical/operations space as driven by implementation needs. Strong analytic and time management skills and can deal with multiple complex projects at the same time focusing on key deliverables. Strong project management skills. Attention to detail with the ability to delegate tasks and coordinate activities of a team. Excellent written and oral communication skills, customer service orientation, comfortable working at all levels of the organization.
Additional InformationHealthcare experience required, preferably in a similar role working on projects, multiple projects, working with many departments, and contractors. Medical experience required.
