Facilities & Office Services Manager
The Facilities & Office Services Manager will be responsible for ensuring our physical infrastructure is safe, functional, and well-maintained across our offices. This person will have management responsibilities for the Office Services team and will ensure exceptional service levels at a highly professional organization. This person will work closely with vendors and contractors to support our global operations. In addition, this person will help manage lease negotiations, space planning, and construction projects, as well as support employees in our hybrid work model. The Facilities & Office Services Manager will report to the Director of Human Capital & Administration.
Responsibilities include:
- Site Management: Oversee the maintenance and repair of tenant space, and office equipment and systems to ensure they are preserved in good working order.
- Team Leadership: Manage the Reception, Switchboard, Mailroom, Catering and Production Room teams at our headquarters in San Francisco to ensure the smooth running of these critical office functions.
- Contract Management & Vendor Relationships: Negotiate, manage contracts, and coordinate with service providers for cleaning, maintenance, security, and other essential services across our global offices. Maintain a close relationship with vendors and building management and oversee smooth processes, raise issues and partner on solutions. See issues through to resolution.
- Safety: Ensure that our facilities comply with safety regulations and health standards. Develop and maintain health and safety best practices and procedures for all office locations and train employees. Oversee workplace safety incidents through to resolution. Participate, as needed, as a member of our Emergency Response team.
- Budgeting & Planning: Collaborate with senior management on budgeting for facilities needs and planning for future upgrades and/or renovations.
- Lease Negotiation: Help manage lease negotiations across our global offices and maintain strong relationships with brokers, building management, and other partners.
- Space Planning and Construction: Work with the Human Capital team to optimize office space with attention to departmental requests and requirements for space improvements and potential remodels. Help oversee construction projects.
- Sustainability: Help to promote and enact initiatives brought forth by the Sustainability Committee. Actively participate in discussions providing solutions to environmental impact.
Qualifications:
- Four-year college degree with an excellent academic record
- 10+ years of experience in facilities management, office services, or related field
- Excellent written and verbal communication
- Strong attention to detail and organizational skills
- Excellent project and time management skills
- Responsive and timely
- Strategic thinker and problem solver
- A proven track record of effectively managing and leading a team, managing vendors and third-party partners, managing conflicts, and fostering a positive work environment
- High EQ and will develop strong partnerships with colleagues across the firm
- Financial acumen
- Technology skills, including proficiency with Office 365 suite
- Ability to be flexible regarding work hours: occasional nights/weekend work may be required.
- Occasional travel may be required
Requirements:
Dodge & Cox has a 3/2 hybrid work model, and all Dodge & Cox employees are required to be in their assigned office as noted in the job posting Tuesday - Thursday each week, with the option to work remotely on Monday and Friday.
The salary range for this position is $130k - $175k.
The listed pay scale denotes only the pay range of the base salary and does not include discretionary bonus compensation, which may make up an important portion of the total remuneration.
