Position Summary:
The Business Manager will be responsible for supporting an executive leadership team member and his departments and leaders. This position will be responsible for administrative responsibilities, scheduling management, project and task coordination, financial and accounting duties, reporting, and assisting with projects and support requests as needed. The ideal candidate will have strong administrative experience, be very detail-oriented and organized, possess strong communication skills, and have the ability to drive tasks to resolution in a timely manner. A successful Business Manager is able to manage their time effectively, is detail-oriented, a trustworthy team player, and takes pride in their work. In addition, this position needs to be accountable and attentive to provide excellent customer service skills when interacting with residents, associates, and vendors.
Primary Responsibilities:
- Support Executive and department leaders on assigned projects and tasks
- Support Executive and department leaders in identifying, improving, and streamlining processes
- Work with accounting to track job code related invoices and expenses for projects and work orders
- Provide weekly, monthly, and quarterly reporting for metrics, budgets, projects, and executive reports
- Support Executive with tracking projects and major work orders for scheduling, coordination, and reporting
- Code invoices and bills for approvals with summary of expenses for trackability
- Manage daily accounting records of expenses and budget reporting
- Perform reconciliation of paid invoices and outstanding work orders and invoices
- Work on billing issues and service renewals with vendors
- Review expense reports for accuracy for approval
- Track software, hardware, and subscription licensing and expiration renewals and reporting
- Assist with the handling of logistics of shipping, mailings, and receiving/tracking deliveries
- Assist with group travel booking and arrangements for Executive and departments
- Maintain shared calendars of travels, out of office schedules, project work schedules, and travel booking
- Manage coordination and scheduling of meetings and events
Minimum Requirements:
- 6+ years of administrative, office manager, or project coordinator experience
- 4+ years of experience supporting business units, departments, or organizations
- 4+ years supporting or managing budgets and financials and reporting
- Extensive and strong experience with MS Products (Word, Excel, PowerPoint, and Outlook)
- Extensive and strong experience utilizing cloud-based SaaS tools
- Strong interpersonal, verbal and written communication skills
- Strong project coordination and decision-making skills
- Demonstrates capacity for organization, attention to detail, prioritization, and documentation
- Willingness to take ownership and show initiative with minimal supervision or direction
- Ability to work effectively on a team or alone, and work cooperatively with all levels of associates
- A high level of integrity, professionalism, and attention to detail

- Ability to travel as required, up to 5% of the time
- Ability to work 5 days a week in the Kirkland Home Office when not traveling
