Summary
The Manager - Office, Conference Center, and Employee Experience will be responsible for working collaboratively with various departments across our Association to create a positive, engaging, and supportive work environment. This position will also lead in managing APTA Centennial Center's conference center in partnership with our outsourced Events team, providing service to APTA staff, members, and external partners for all activities, including but not limited to meetings, social activities, and other public and private events.
Essential Functions
- Maintain an annual calendar of APTA hosted events and Centennial Center.
- Track and report annual data on APTA's internal and external meetings.
- Oversee and partner with the outsourced events management vendor to execute events within the agreed upon SOPs and guidelines.
- Coach and mentor department Associate to ensure that customer service is accomplished individually and through teamwork.
- Conduct weekly meetings with outsourced vendors' staff and building management to review the schedule of applicable events.
- Regularly inspect Conference Center areas to ensure that the Center presents a consistently professional image.
- Provide responsive, knowledgeable, and astute reservations service.
- Support foundational audiovisual needs for meetings including Zoom and Teams presentation software.
- In coordination with IT Support, ensure that outsourced conference center vendor staff are trained in Conference Center Technology.
- Promote client service throughout the department; ensure that client service standards are set and achieved by the team.
- Research, recommend, and execute regular employee experience activities.
- Serve as APTA staff lead in the planning, coordination, and execution related to office meetings and staff events.
- Develop timelines for office events and meetings to ensure that deadlines are met.
- Establish and maintain excellent relationships across all departments and vendors.

Qualifications
- 5+ years of experience in a similar position in a client service-focused industry.
- Ability to translate an executed contract into a highly successful event.
- Vendor management experience, including contract negotiations.
- Excellent communication skills and the ability to build effective relationships.
- Experience in the hospitality industry, including catering, is a plus.
- Strong proficiency with Microsoft Office programs.
- Budget management skills.
- Strong client service ethic and a proven record in delivering exemplary client satisfaction.
- Ability to foster a positive, motivated, and engaged team.
- Ability to maintain the highest standards of professionalism and communication.
- Strong organizational skills needed to coordinate details associated with frequent simultaneous events.
- Creative and curious.
- Supervision experience to include staff and outsourced vendors.
- Ability to lift up to 20 pounds.
