General Summary
The Business Excellence program is a multi-year business operations transformation effort for Mass General Brigham Healthcare System. This important enterprise initiative will culminate in the implementation of leading technologies to optimize employees’ experiences across Finance, Human Resources, Supply Chain, and Research Management. The Organizational Readiness team for Business Excellence sees to all aspects of change management, communications, and learning and training to support the transformation.
The Project Manager for Change Management will report to the Director of Organizational Readiness and will provide critical project management and support for change management, engagement, and communications activities. Responsibilities of the role include creating, monitoring, and supporting workstream plans to align with the overall project, organizing and documenting important activities, managing materials and assets, organizing stakeholder meetings, and ensuring that project deadlines are met in a timely manner. The role will also contribute to important change inputs such as design documentation, change analysis, and stakeholder relationship management.
A successful candidate will be detail-oriented, possess strong communication skills in all formats, be customer-focused, and exhibit flexibility to changing demands.
Principal Duties and Responsibilities
Project Management
- In collaboration with project leadership and workstream colleagues, drafts and manages project plans and project documents, including procedures, proposals, status reports, and presentations.
- Documents and provides follow-up on important actions and decisions from meetings. Distributes minutes to all project team members.
- Works with the Director to ensure project deadlines are met.
- Works with team members to prepare agendas for meetings, documents key decisions, and collaborates with team members to develop project elements.
- Prepares necessary presentation materials for meetings.
- Organizes and leads workstream status meetings, and contributes to and participates in overall project status meetings.
- Monitors internal and external factors throughout the project plan. Evaluates and reports on the impact of risks or changes to the project plan.
- Works with other functions to gain access to key data to inform change management activities.
- Develops initial deck layouts and visualizations for documents and presentations where needed.
- Manages scheduling with senior stakeholders where needed.
- Other duties as assigned.
Change Management and Engagement
- Documents and synthesizes change impacts in design and decision sessions pertaining to the project.
- Works with various internal departments to support the scheduling and logistics for change and engagement programs, technical set-up and coordination, etc.
- Coordinates with subject matter experts to validate inputs for change activities.
- Supports the design and administration of assessments to participants in engagement programs.
- Manages, organizes, and distributes change management and engagement materials to appropriate audiences.
Team and Project Leadership
- Contributes and advises as a subject matter expert and team resource on project management leading practice.
- Working with Organizational Readiness leadership, ensures excellence in project deliverables for key stakeholders and project sponsors.
- Other duties as assigned.
Qualifications
- Bachelor's Degree required.
- 3-5 years of relevant work experience.
- Working knowledge of change projects, healthcare industry preferred.
- A combination of education and experience may be substituted for requirements.
Skills
- Excellent organizational skills and attention to detail, ability to work independently, manage multiple tasks and projects, meet tight deadlines, and manage to schedule.
- Ability to remain flexible to handle and prioritize work from various department staff.
- Strong PC skills / Microsoft applications, including and especially PowerPoint and Excel, as well as project management software.
- Experience with Atlassian tools or Workday a plus.
- Strong oral and written communication skills.
- Ability to develop effective relationships with a broad array of people.
- Take-charge ability and excellent judgment in determining and leveraging resources.
- Ability to work within a complex organization.
- Willingness to occasionally work beyond standard business hours to meet project deadlines.
