POSITION TITLE: Vice President of Administrative Operations and Strategy
STATUS: Salaried, Exempt
REPORTS TO: President and CEO
SALARY: $120,000-$140,000/YR

POSITION SUMMARY
The Vice President of Administrative Operations and Strategy manages the administrative operations of the organization, including the Information Technology and Systems, Facilities and Security, and Business Operations and Innovation departments. The Vice President of Administrative Operations and Strategy also serves as a strategic thought partner, advisor, and project manager to the CEO and the Senior Team (ST). This position may fulfill the cell phone reimbursement requirements.
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES
Essential Functions include the following. Other duties may be assigned.
Executive Thought Partnership & Strategic Planning
- Serve as a conduit, advisor, and project lead to the CEO and/or ST on major strategic projects, including strategic planning process.
- Advise and support leadership in approaching organizational change in a way that engages employees at all levels of the organization and achieve desired results most effectively and efficiently.
- Partner with the CEO to identify opportunities to engage the Board of Directors on strategic issues/high-priority topics.
- Partner with, and lead, the ST to manage annual and quarterly planning processes to ensure alignment with strategic plan and priorities; ensuring the strategic plan is a living document.
- Identify opportunities to integrate across functional teams; leverage strengths to take advantage of new opportunities and/or to address organizational challenges.
- Challenge conventional‐thinking and promote an environment of open communication, creative problem‐solving and a sense of urgency to meet organizational goals and objectives.
- Together with the ST, through project management and key initiative oversight, work to meet strategic goals with clear communication, elimination of silos, integrated work plans, and implementation with an eye towards coordinated accountabilities, objectives, and associated budgets.
- Maintain the organizational structure and processes necessary to manage the organization’s current activities and its projected growth. Influence organizational change as necessary to facilitate strategic initiatives and planned growth.
- Ensure the highest level of efficiency in revenue cycle and credentialing operations.
- Establish, plan, monitor, and administer the overall policies and goals for the Business Operations and Innovation Department.
- Ensure design, development, implementation, and maintenance of user-focused, cost-effective systems and solutions that meet the organization’s business operations and innovation needs.
- Oversee bids and contractors for systems enhancements.
- Other duties as assigned.
- Periodic travel to affiliate locations may be required.
Organizational Effectiveness
- Promote and facilitate integration, collaboration, and teamwork among all departments and locations throughout the organization.
- As a member of the Senior Team, be integrally involved in the strategic planning process with particular responsibility for leading, planning, expanding, implementing, controlling, and evaluating programs and operations to improve efficiencies and impact.
- Lead initiatives and develop tactics for advancing internal and external customer experience.
- Champion a culture of accountability in relation to the organization’s strategies and initiatives and work to ensure that equity is interwoven throughout the organization’s policies and strategic initiatives.
- Analyze the needs of organization and establish priorities for systems changes, design, and implementation to develop new and/or modify systems to improve and enhance operational effectiveness, efficiency, and cost containment.
- Ensure a consistent approach to reporting (internal and external) across the organization.
Facilities and Security
- Ensure the optimal functioning of building systems and security.
- Establish, plan, monitor, and administer the overall policies and goals for the Facilities and Security department.
- Oversee bids and contractors for facilities renovation and security projects.
Information Technology and Systems
- Ensure information technology, systems, software, and equipment are functioning optimally to ensure organizational effectiveness and efficiency.
- Establish, plan, monitor, and administer the overall policies and goals for the information technology department.
- Oversee bids and contractors for IT projects.
Supervisory Responsibilities
This position supervises members of the Information Technology and Systems, Facilities and Security, and Business Operations and Innovation departments, as well as the administrative office manager.
MINIMUM QUALIFICATIONS AND EXPERIENCE
- Bachelor’s degree and minimum 8 years of senior-level leadership
- Experience in upper-level management in a not-for-profit organization
- Strategic planning experience and maintaining a strategic plan over time
- Project management experience
- Exceptional interpersonal skills / emotional intelligence with the ability to manage relationships with a diverse set of colleagues
- Strong analytical skills and use of data to drive decision-making and to build consensus/support
- Strong written, communication, and organizational skills, including a track record of balancing and prioritizing multiple priorities simultaneously
- Demonstrated ability to build strong relationships across a variety of stakeholders, influence others and manage laterally and up to ensure successful outcomes
- Demonstrated ability to analyze complex problems and data to create business plans and service proposals; ability to think “out of the box” to develop opportunities for the organization
PREFERRED QUALIFICATIONS AND EXPERIENCE
- PMP certification
- Management of operations in a multi-site health care delivery system or hospital setting; thorough knowledge of health care administrative operations and fiscal management
