Summary
The Manager - Office, Conference Center, and Employee Experience will be responsible for working collaboratively with many departments across our Association to create a positive, engaging and supportive work environment. This position will also be the lead in managing APTA Centennial Center’s conference center in partnership with our outsourced Events team, providing service to APTA staff, members and external partners and clients for all activities, including but not limited to meetings, social activities, and other public and private events. This position demonstrates excellent judgement in analyzing details and possesses the skills to make connections across different projects and adapt to clients’ unique needs in pursuing the successful completion of program objectives. In addition, this position incorporates business analysis skills to assist the organization in assessing business problems and change solutions.
Essential Functions
- Maintain an annual calendar of APTA hosted events and Centennial Center
- Track and report annual data on APTA’s internal and external meetings
- Oversee and partner with the outsourced events management vendor to execute external, and internal (when applicable), events within the agreed upon SOPs and guidelines
- Coach and mentor department Associate to ensure that customer service is accomplished individually and through teamwork
- Conduct weekly meetings with outsourced vendor’s staff and building management to review the schedule of applicable events, to ensure all resources are covered
- Regularly inspect Conference Center areas to ensure that the Center presents a consistently professional image; coordinate with building management to ensure that routine and non-routine maintenance and safety needs are met
- Provide responsive, knowledgeable, and astute reservations service, demonstrating knowledge of special needs, established preferences, ability to manage changes, appropriate placement of meetings, etc.
- Support foundational audiovisual needs for meetings including Zoom, Teams presentation software and add-ons, video production.
- In coordination with IT Support, ensure that outsourced conference center vendor staff are trained in Conference Center Technology to the extent possible to include Zoom, AirMedia, routine troubleshooting, wireless, and video conferencing.
- Promote client service throughout the department; ensure that client service standards are set and achieved by the team
- Researches, recommends, and executes regular employee experience activities. Listens to staff to gain understanding of the desired employee experiences.
- Serves as APTA staff lead in the planning, coordination and execution related to office meetings, staff events and employee engagement opportunities, including social functions, department meetings and APTA Members’ use of space.
- Develop timelines for office events and meetings to ensure that deadlines are met, details are coordinated, and participants are informed.
- Establish and maintain excellent relationships across all departments, outsourced site vendor, third-party vendors, and building management, communicating details to appropriate parties and managing customer (to include staff) expectations

Qualifications
- 5+ years of experience in a similar position in a client service-focused industry to include coordinating client service functions and providing superior customer service to visitors
- Ability to translate an executed contract into a highly successful event for members, affiliates, components and 3rd parties.
- Vendor management, including experience with contract negotiations and reviewing and processing of invoices
- Excellent communication skills and the ability to build effective internal and external client relationships
- Experience in the hospitality industry, including catering, a plus
- Strong proficiency with Microsoft Office programs, including Word, Outlook, Excel, PowerPoint, and SharePoint, badge/nametag software, conference room booking tool or MS calendar reservations
- Budget management skills
- Strong client service ethic and a proven record in delivering exemplary client satisfaction to external and internal client constituencies
- Ability to foster a positive, motivated, and engaged team
- Ability to maintain highest standards of professionalism and communication
- Talent for delivering client service - quickly, proactively, and in a positive manner - through teamwork
