Administrative Manager - Chief Operations Officer
Description:
The Administrative Manager supports the ministry of Convoy of Hope by providing administrative support to the Chief Operations Officer, including office operations, volunteer oversight, and project management as assigned.
Essential Duties & Responsibilities:
- Provides support on behalf of the Chief Operations Officer by providing leadership and oversight of assigned projects, ensuring deadlines are met and collaborating with appropriate staff.
- Assists leaders with information for decision making and communication, ensuring they can obtain necessary resources or information in a timely fashion.
- Serves as communications lead to ensure information shared is vetted and properly accounted for to the working groups in the COO portfolio, including Disaster Services, Global Program, Supply Chain, Community Engagement, Regional Distribution Centers, Manufacturing, Finance, IT, Global Security, and Administration.
- Manages, updates, and finalizes reports, stats, and calendars for the COO.
- Coordinates trips and travel arrangements for the COO.
- Assists with coordination of expense reporting.
- Plans, coordinates, and assists in event planning, catering, presentation materials, and providing for the needs of the attendees.
- Provides administrative support to the COO relating to daily activity and workflow as needed.
- Assists the Director of Program Project Management with scheduling, travel arrangements, and expense reporting.
- Assists the Ambassador for the Poor with scheduling, travel arrangements, and expense reporting.
- Fulfills all other duties as assigned.
Qualifications:
- A bachelor’s degree is preferred. A high school diploma or equivalent is required.
- Two or more years of experience in compassion ministry is preferred.
- Exhibits proficiency in Mac and PC software programs, including Gmail, Microsoft Word, PowerPoint, and Excel.
- Possesses excellent verbal and written communication skills for conveying the program work of Convoy of Hope within the organization and to Convoy of Hope’s partners and target audience.
- Displays strong organizational skills and ability to handle multiple concurrent job tasks.
- Demonstrates excellent interpersonal communication and relational skills.
- Possesses ability to work at a fast pace.
- Attends and actively participates in Convoy of Hope At Home Week meetings and activities as a required responsibility to the organization and fellow team members.
- Serves as an advocate for the ministry, striving to nurture, broaden, and develop financial and other resource opportunities to support and expand organizational and program ministry.
- Positively represents the ministry of Convoy of Hope, including its mission statement and core values, to all outside constituencies.
- As a Christian organization, Convoy of Hope believes it is critical that team members embrace the organization’s religious purposes for which it exists and not only agree with its Statement of Faith but demonstrate it in their lives on an ongoing basis.
Supervisory Responsibilities:
This position may have direct supervisory responsibilities of staff or volunteers as assigned.
