We're seeking an enthusiastic and dedicated Agency Support Specialist to join our team, ensuring every guest and caller feels warmly welcomed and professionally assisted. As the Agency Support Specialist, you will be the face and voice of The Richards Group. Your primary responsibility will be to greet, assist, and provide information to clients, visitors, and guests. This role is pivotal in guaranteeing outstanding customer service while efficiently understanding and addressing the needs of each visitor or caller. This in-office position is in our Brattleboro Vermont Office with a schedule of Monday - Friday from 8:00 AM - 4:30 PM.

Key Responsibilities

Ensure the reception area is prepared daily; open and close the building at scheduled times.
Manage incoming calls, directing them to the appropriate person and accurately documenting messages.
Welcome and direct visitors, acting as a knowledgeable guide on our organizational structure.
Assist with walk-in payments from insured clients.
Handle voicemail activations and mail processing.
Maintain the Out Board to track employee absences.
Cultivate positive relationships with clients and colleagues.
Safeguard sensitive information and uphold confidentiality.
Support various departments with special administrative projects.

Qualifications

High School diploma or equivalent.
Proficiency with multi-line telephone systems and strong customer service skills.
Familiarity with AMS 360, Microsoft Outlook, Word, and Excel.
Strong organizational and multitasking abilities.
Warm, courteous, and professional phone demeanor.
Exceptional communication skills, both oral and written.
Ability to maintain confidentiality and respect privacy.

Physical Demands

Regularly communicate verbally and operate computers.
Close vision and focus adjustment capabilities.
Mobility to deliver messages and handle small packages.
Engage in repetitive tasks such as typing and phone communication.

Starting salary for this position is $35,000 annually, accompanied by a $1,000 sign-on bonus.

The compensation for this position will be determined based on the candidate's experience, qualifications, and skills.
