The Director of Operations oversees the day-to-day functioning of South Park Inn’s agency and business services, including human resources, fiscal, payroll and billing, information technology, data compliance, facilities, and administrative support. She or he directly supervises the Maintenance Supervisor, Kitchen Supervisor, and is responsible for overseeing all agency human resources functions in partnership with the Executive Director. He or she liaises with the agency’s fiscal, payroll, and information technology services vendor(s), works closely with the development department, and assures standardized agency-wide data management within HMIS.

Key Responsibilities:

Acts as agency’s primary internal contact for all matters related to human resources, facilities, and administrative functions. Communicates with all SPI staff and managers to assure adequate operational support for the effective delivery of program services.
Provides coaching, training, technical assistance, and performance management as needed.
Liaises with external vendors and consultants to support payroll, fiscal services, and information technology services for all SPI staff. Initiates and facilitates communication with outside vendors to resolve staff issues and concerns, to establish new services and supplies for incoming staff, and to close out services and supplies assigned to separate staff.
Liaises with all other external vendors that provide services across programs, including exterminators, general contractors, etc.
Provides insight and data on administrative/business outcomes to support agency evaluation and planning for strategic and sustainable agency growth.
Oversees and assists with recruitment, vetting, hiring, onboarding, status changes, and separation processing for all agency staff. Maintains confidential personnel files in accordance with state, funder, and agency standards that include detailed, timely, and accurate records of staff training and certifications, corrective or disciplinary action, and annual performance evaluations.
Liaises with program management to assure that line staff are meeting training and certification requirements and supports compliance through linking program staff with external trainings and/or in-services.
Completes all agency ordering and purchases in accordance with fiscal policy. Plans for, attends, and supports significant deliveries of goods and supplies.
Responds to and effectively directs telephone, email, and other inquiries.
Assists with facilities compliance by ensuring timely scheduling of regular inspections. Assists with follow-up to inspections when necessary.
Sorts mail and maintains ready inventory of office supplies.
Assists Development with executing volunteer events, recruiting and thanking donors, preparing grants for submission, and other operational and administrative tasks.
Attends and documents staff meetings. Provides general administrative support to the Executive Director.
Models professionalism within a positive, collaborative work environment.
Maintains strong working relationships with community partners, volunteers, and the general public.
Completes other assignments and tasks as needed and as directed by supervisor.
Advocates for the mission of the organization and upholds agency values.

Job Type: Full-time

Pay: $55,000.00 - $65,000.00 per year
